Why Cindral

We started from a specific frustration: back-office teams in Malaysia handling 400–900 documents a month, spending serious hours on manual keying and reconciliation that extraction tools could handle. The gap was not the AI — it was the configuration, the threshold calibration, the integration into whatever ERP the client already uses.

Cindral fills that gap. Three engagements, each scoped to a specific operational problem. Our team is based in George Town, Penang, with delivery work done on-site and remotely across the country. We hand over working tooling plus the documentation for your clerks — then step back.

05 — EXTRACTION

Layout-agnostic extraction that earns its keep

Teams processing mixed supplier formats — some PDFs, some scanned, some with three-column tables — spend a disproportionate amount of time on keying. The extraction routine handles that work and sends low-confidence items to a review queue rather than pushing bad data downstream.

Scope covers layout sampling, configuration, one system integration and a clerk handbook. Delivery: three weeks from sample receipt.

06 — RECONCILIATION

Matching tooling that keeps every decision with your team

The tool pairs incoming statement lines against internal records using fuzzy matching rules built from your own reconciliation logic. Anything it cannot confidently resolve goes into an exception workspace with notes, ageing and an audit trail — your finance staff make the call.

Two calibration rounds are included, plus an operating procedure and staff onboarding. Six-week delivery. This is operational tooling — not advisory work on financial matters.

Common questions

What document types does the extraction service handle?

The scope covers supplier invoices, delivery notes and receipts. During the layout sampling phase at the start of the engagement, we review a sample of your actual documents — typically 40–80 — so configuration reflects your real mix, including multi-column formats, scanned pages and non-standard local supplier layouts.

How does the reconciliation tool handle judgement calls?

It does not make them. The matching routine proposes explanations for differences it cannot resolve with confidence, and those items go into an exception workspace. Your finance staff review, annotate and decide. Every resolution is logged in the audit trail. The tool is operational support, not a substitute for financial judgement.

Which ERP or accounting platforms does the extraction output connect to?

One system integration is included in the invoice extraction engagement. Which platform that is depends on what you use — the scoping conversation covers integration requirements early so we can confirm feasibility before work starts. If your platform requires a non-standard connector, that is discussed at scoping, not mid-delivery.

How long do engagements run and what is the delivery timeline?

The extraction engagement runs three weeks from sample receipt. Reconciliation tooling is six weeks, including two calibration rounds. The process advisory engagement runs twelve weeks and includes two steering committee presentations. All three have fixed scope — the timeline does not extend because requirements changed post-scoping.

What happens at the end of the advisory engagement?

You receive a written target operating model document and a phased implementation plan with effort and headcount implications set out plainly. The two steering committee presentations happen during the engagement — the final one walks your leadership through the model and the phased plan. The document is yours to use for internal decision-making.

How is client data handled during configuration?

Document samples and system log data shared during an engagement are used only for configuration and calibration within that engagement. Data handling terms are set out in the engagement agreement before work starts. We do not retain your operational data beyond the engagement period.
